Work backwards from the required date
Distinguish the date goods are needed at destination from the requested production completion date. Include the intended use of the collection and any important launch milestone.
Discuss the proposed transport arrangement separately. A factory completion estimate should not silently stand for an arrival guarantee that includes freight, customs or events outside the production team’s control.
List the approvals that unlock the next stage
List the brief, material selection, sample review, final specification, artwork and packing decisions that apply to the project. Give each item an owner and an expected response date.
Some decisions can be reviewed together; others depend on a previous choice. Mark those dependencies so a pending yarn decision, for example, is not hidden behind a general “sampling in progress” status.

Leave room for a clear revision cycle
Allow for a sample to be received, reviewed and commented on. Consolidated feedback is easier to schedule than a sequence of contradictory messages from several reviewers.
When a revision is requested, ask which connected items need to be rechecked. Confirm the revised plan instead of assuming the original completion estimate remains unchanged after a significant specification change.
Confirm production and transport separately
Confirm the production plan against the final agreed order and references. Keep packing readiness, dispatch arrangements and transport information visible as separate milestones.
Use short status updates that name the completed step, next action and outstanding decision. This is more informative than a repeated percentage that has no shared definition.
Before you send the brief
- Destination need and factory completion distinguished
- Approval owners and dependencies listed
- Sample review and revision time considered
- Packing, dispatch and transport confirmed separately
